Information you choose to share
When you submit a connect card or another church form, we may receive your name, email address, phone number, preferred contact method, consent, and the message or request you provide. Please avoid including information you do not want church staff to receive.
How we use information
We use submitted information to respond to questions, coordinate requested next steps, provide prayer or care, operate church ministries, protect the website from misuse, and maintain appropriate records of follow-up.
Accounts and personal saved data
You can use public church content without an account. When you create or use an account, we process your email address, profile information and authentication records. Message notes, journal entries, bookmarks and reading progress stay on your device unless you turn on account sync. Turning sync on saves that data to your account for use across devices. Turning it off stops future sync; it does not remove copies already saved to your account. Removing the app or clearing browser storage removes local copies.
Private groups, files and church operations
Private group messages, shared files, meeting notes and church contact or household records are available according to assigned access. Membership changes can remove access. Staff may use contact information and recorded communication preferences to coordinate ministry and follow-up. Household membership alone does not establish guardian or child pickup authority. Notifications may use a device token; private group push alerts omit message text and member names.
Meeting recording and AI processing
Where recording is enabled, the person recording must inform participants and obtain permission before recording and processing a meeting. Audio is stored privately. When AI processing is enabled, audio and shared meeting context may be processed by transcription and AI service providers to prepare a transcript, draft notes and suggested actions. People must review the results before approving notes or creating suggested tasks. Private agenda items are excluded from the shared summary context.
Meeting recordings and notes can be available to the author, current meeting participants and people explicitly given access. Original uploaded audio is scheduled for deletion 30 days after successful transcription; transcripts and notes remain until separately deleted. Local captured-audio recovery is kept for up to 24 hours. Authorized deletion of recording notes retains previously created tasks. Contact us to ask about access, correction or deletion.
Website security and service providers
The website may process standard technical request information needed for security and reliable delivery. Network identifiers used by the connect-card abuse controls are stored as one-way protected hashes rather than plain IP addresses. Hosting, database, email, media, and monitoring providers may process limited information on CTK Hope’s behalf under their own security terms.
First-party engagement measurement
CTK Hope records basic page and app-screen activity to understand which content and ministry resources are useful. This measurement does not use advertising cookies or store plain IP addresses. A one-way identifier changes daily, query strings are removed, and authorized staff see aggregate activity rather than private viewing histories.
External services
YouTube players, maps, podcast feeds, event registration, and the giving portal are operated by third parties. When you choose those links or players, their privacy practices apply to the information they receive.
Sharing and retention
CTK Hope does not sell personal information. Access to form and follow-up information is limited to authorized staff and service providers who need it for the purposes above. Records are retained only as long as reasonably needed for ministry follow-up, operations, safety, and applicable legal obligations.
Your choices
You may ask what information you submitted, request a correction, or ask us to delete it when retention is not otherwise required. Contact us at connections@ctkhope.net or call 360-707-2383.
Changes to this notice
